  • Overview

    Function as the document management team technical point of contact for on-site meetings at senior/executive level and manages project tasks and tracks and reviews deliverables. Support the document scanning policy and process.

    Responsibilities

    • Oversee work assignments of the scan operations team
    • Provide daily direction and guidance to the team as needed to respond to customer requests and resolve problems
    • Monitor daily workflow and production metrics to ensure project requirements are being met
    • Support the Senior Records Management Team Lead in capturing and analyzing scan operation metrics to develop process improvements for scan operations
    • Perform the preparation and scanning of active security documentation and assists with the destruction of digital files that have met their retention
    • Monitor requests, process, and provide timely delivery of digital files to client stakeholders
    • Assist the Senior Document Management Team Lead (Records) with special assignments and serve as back-up interface with the customer
    • Train new scan team members on scanning procedures and assist with creating and updating training materials and other job aids
    • Interface with all areas affected by the project including end users, computer services, and client services
    • Develop detailed work plans, schedules, project estimates, resource plans, and status reports
    • Conduct project meetings and is responsible for project tracking and analysis
    • Manage the integration of program tasks and tracks and reviews program deliverables
    • Recommend and takes action to direct the analysis and solutions of problems
    • Provide technical and analytical guidance to the team

    • Interfaces with all areas affected by the project including end users, computer services, and client services
    • Ensure project scope and objectives are clearly stated and met
    • Develop detailed work plans, schedules, project estimates, resource plans, and status reports
    • Provide subject matter expertise on best practices for records management and archiving of sensitive federal agency documentation
    • Support government client in developing and implementing improvements to existing and future file digitization and electronic delivery processes to end users
    • Review, update, and maintain File Scanning Plan, Physical File Management Plan, and Standard Operating Procedure documentation
    • Coordinate with government client physical file inventory and tracking, electronic file delivery coordination and tracking
    • Provide management oversight over team of six scan technicians, performing scan operations, monitors product quality and performance, and develops process improvements for scan operations to ensure project requirements are being met
    • Conduct project meetings in conjunction with the Senior Records Management Team Lead and is responsible for project tracking and analysis
    • Ensure adherence to quality standards and reviews project deliverables
    • Perform checks on the scan quality and OCR quality of processed documents, to include prevention of classified spillages by reporting appropriately
    • Assign relevant metadata based on document content
    • Track and report daily production metrics
    • Participate in team meetings, process planning sessions, security reviews, briefings, and training as required
    • Interface with all areas affected by the project including end users, computer services, and client services
    • Develop detailed work plans, schedules, project estimates, resource plans, and status reports
    • Assist in the conducts project meetings and is responsible for project tracking and analysis
    • Manage the integration of vendor tasks and tracks and reviews vendor deliverables

    Qualifications

    • Education:
      • Bachelor’s degree or equivalent
    • Required Knowledge/Experience:
      • Must have or be able to obtain and maintain a Top Secret government security clearance
      • 5-10 years of professional experience working directly with federal government customers
      • Strong attention to detail and self-motivated
      • Exceptional project management skills and experience
      • Strong ability to prioritize, manage a large team, determine workload and proper distribution of work, and ensure time management for efficiencies
      • Excellent organizational skills, computer skills, and problem solving skills
      • Professional experience with quality control
      • Good work ethic and strong focus on quality
      • Excellent client relationship and interpersonal skills

    Other Responsibilities

    • Perform other tasks consistent with the goals and objectives of the department/contract
