  • Overview

    Perform general office administration, including word processing, Excel spreadsheets, power-point presentations, desktop publishing, editing, filing, maintaining calendars for appointments, answering phone inquiries, coordinating logistics for meetings to include scheduling, planning and attendance for internal and external events, providing note-taking, graphics, and preparing documents.


    • Set up conference calls, webinars, and video conferencing meetings
    • Coordinate logistics for meetings to include scheduling and planning from multiple sources for both internal and external events
    • Assist staff with time and attendance entry
    • Assist in the management and processing of OCIO correspondence
    • Assist in the management and processing of Departmental Clearances for OCIO
    • Prepare travel arrangements for selected senior staff, as well as providing advice and guidance for other staff members who are preparing their own travel authorizations and vouchers, including preparing foreign travel arrangements
    • Assist in the drafting of responses to Congressional and Freedom of information Act (FOIA) requests and other inquiries
    • Provide quick turn-around interoffice services including but not limited to photocopying, scanning, faxing, and printing
    • Monitor and apply current procedures and policies for executive correspondence, official files, and records disposition
    • Assist staff with visitor requests and arrangements


    • Education:
      • High School diploma required
      • Bachelor’s degree or higher preferred
    • Required Knowledge/Experience:
      • Experience in setting up conference calls, webinars, and video conferencing meetings and coordinating logistics to include scheduling and planning from several sources
      • Knowledge with management and processing of OCIO correspondence
      • Experience in the management and processing of Departmental Clearances for OCIO
      • Hands-on experience with travel arrangements preparation with the ability and willingness to provide guidance and advice for members of the staff regarding travel
      • Ability to communicate both written and verbal in a manner appropriate for speaking with senior staff or drafting responses to federal inquiries
      • Ability to efficiently use a photocopier, fax machine, printer, and other general office electronics
      • Strong knowledge of Microsoft Office Suite, especially Excel and PowerPoint
      • Ability to multi-task and meet deadlines, either as an individual or as a member of a team
      • Strong attention to detail
    • Physical Requirements:
      • Ability to perform basic office duties that include squatting, sitting for long periods, or standing for long periods
      • Able to lift up to 50lbs

    • Perform other tasks consistent with the goals and objectives of the department/contract
    • Perform other duties as assigned by Director of Government Services
