Overview

Provide professional administrative support to the day-to-day operations of the division, relieving senior personnel of many administrative tasks.

Responsibilities

  • Apply working knowledge of technical literature and various style guides, including customer specifications to documentation and publication standards
  • Coordinate documentation such as technical reports, staff studies and working papers
  • Provide reference, document delivery, on-line research, and referral services
  • Direct information services, oversees production of publications, and investigate and implement best ways to produce documentation electronically
  • Interface with technical professionals in the writing, editing and publication of various types of documents
  • Track and monitor the flow of documents from inception to distribution of final copies and provides quality assurance checks for all document deliverables
  • Identify and correct problems as they arise
  • Utilize appropriate computer software for document preparation and production
  • Order and maintain office supplies
  • Maintain an updated office telephone directory
  • Count office surveys and prepare quarterly reports
  • Conduct daily morning attendance report of employees
  • Proof contractors’ and government employees’ timesheets weekly and submit to the appropriate individuals
  • Maintain Reserve It applications for reservations of conference rooms and meeting spaces and ensure space is unlocked and prepared for scheduled events
  • Prepare memoranda
  • Send out reminders for meetings to staff
  • Answer telephones, take messages, and direct calls to appropriate personnel
  • Set up meetings for management
  • Other duties and tasks of increasing complexity and responsibility as may be assigned
  • Prepare and/or edit organizational charts, memos and other general office documents and material as required
  • Responsible for managing databases
  • Utilize MS Excel spreadsheets to input data and generate performance measurement reports
  • Attend weekly/monthly meetings and capture minutes derived from the meetings
  • Prepare and/or edit divisional standard operating procedures
  • Coordinate all logistics and transportation needs and generation of government travel orders
  • Draft cables utilizing the Government's cabling system (CableXpress)
  • Provide data entry support for major domestic and international events
  • Compile weekly activities reports obtained from divisional personnel to develop the final Division/Office report for review and approval by the Division Chief or Office Director
  • Create and maintain electronic and hard copy centralized division files in areas such as the budget, equipment purchase requisitions, end-of-course reports, student critiques. travel, and general correspondence
  • Provide project support and other administrative support as required
  • Perform special assignments on request, providing substantive support and assistance to the Unit Chief, Division Chief, and Office Director as needed

Qualifications

  • Education:
    • Must have a High School Diploma and at least three (3) years of job-related experience or equivalent – an Associate’s degree or three years of increasingly responsible administrative experience may be substituted for education
  • Required Knowledge/Experience:
    • Must possess excellent oral and written communication skills necessary to interface with program personnel at all levels
    • Must demonstrate a thorough knowledge of MS Office applications (MS Word, Excel, PowerPoint)
    • Ability to handle multiple tasks simultaneously
    • Knowledge of office policies, practices, and procedures
    • Must be highly organized and able to work independently with minimum supervision and direction

  • Preferred Knowledge/Experience:
    • Experience with Microsoft Office Suites, particularly Excel, as well as other database knowledge of basic accounting skills helpful
